Registration Process
The registration database:
- Enters each students' information into the WMTC database and course roster and permits you to see and manage student registrations and, where applicable, check their online testing progress through your portal. [Scroll down to see how to login and use your portal.]
- Allows you and the course instructor to monitor registrations and student testing.
- Allows the course instructor to assign certifications at the end of the course.
- Allows you to give students access to hybrid course website and pre-course testing after they have 'Paid'.
- Requires students to read and sign our Agreement of Responsibility. The release form acknowledges important aspects of the course and reinforces that there are no refunds. It includes any health admission or PPE criteria your organization requires.
- Permits graduates to access and print or send their certification through the certification database.
- Allows the WMTC office to monitor and assist with any glitches.
Accepting Payment

Course Materials
As mentioned in the Sponsor Responsibilities, Sponsors are responsible for distributing Wilderness Medicine Handbooks for students to use during Part 1 of a Hybrid course. This may mean that students pick them up at your facility or that you mail them. Your WMTC Instructor will order the course materials and have them shipped to you or give them to you directly. In addition to handbooks, there will likely be SOAP notes, stickers, and injection lab supplies that you can simply hold in a secure place until the in-person portion of the course. If you don't have Wilderness Medicine Handbooks on hand by the time students are ready to receive their online access for a hybrid course, reach out both to your instructor and the WMTC office ASAP.
Sponsor Portal
Logging In
You will receive an email from the course management system inviting you to login and create a password. If you can't find that email, you can use your email address to reset your password. Here's a direct link to login. If that still doesn't work, contact the WMTC office for help.
Managing Upcoming Courses
In your portal, you will find your upcoming courses listed in the main page of your portal. There are a number of actions you can take for each course:
- Find the Course Webpage and registration links - Click "Course Webpage" to review the Course Webpage and the Registration forms to ensure that the information is correct. You can copy the "Course Webpage" URL to share with whomever needs to register for your course. This will be the same link that people will access from the WMTC website if your course is open to the public.
- Send Course Emails - You can send emails to your courses through your portal by clicking the "Email Students" button.
- The student email addresses will automatically be added to the BCC field. Please double-check that they're all there!
- You cannot change the "From" address.
- You MUST have an address in the "To" field. We recommend putting your email address in the "To" field.
Managing Course Rosters
You will receive an email each time a student registers for your course. In your portal, each upcoming course has a button to "View Roster" to see all registered students. Click each student row to see more details about their registration. On the roster, the clickable buttons you see will vary by course type. Their functions are explained below:
| Paid | Click the "Paid" button to confirm a student has registered and paid for their course. When you click this button, the student (and you) will be sent a confirmation email; clicking also initiates any scheduled reminder emails. If this is a hybrid course, then clicking the button also automatically enrolls students into the online testing system, and their confirmation email will include login information for the course website and their online tests. IMPORTANT: Clicking this button triggers actions that cannot be undone: You will be invoiced for this student even if they later drop the course or do not attend the practical session. |

You can Save, Print, and Export a roster to several different file types. Find these options by clicking the [ ... ] button in the upper right corner of the report.
If you need to change your organization name, logo, contact information, or staff members you can do it in your portal. Go to the "View/Update my Profile" in the upper right corner of your portal. Be sure to scroll all the way to the bottom of the edit screen and click the "Update" button to save your changes.
Students can search for and obtain their own certification via wildmedcenter.com's certification database. This functionality requires that students to use the email address that they used to register for their WMTC course. They are then sent an email to view their certification, print their card, or email it to whomever they choose. Sponsors can search for their own students in their portal. This can be helpful in finding the certification or expiration for a student who reaches out to you, and obtaining your staff's certifications.
- Click the link for the "Certification Database"
- Use the magnifying glass in the upper right to narrow the results.
- The "Certification Card" link opens a pop-up for the user to view and download a PDF of the card
- The "Send To" button brings up a pop-up with that student's email or, the email address can be changed and the certification can be emailed
Managing Completed Courses
There are a few actions you will need to complete when a Course is complete.
In the list of "Completed Courses," click the button to view "Evals" for the course you want to review.
Submit Your Sponsor Feedback Form - Once your course(s) are complete, please fill out the Sponsor Feedback Form. [We will send a reminder email]. We take your input very seriously and regularly receive valuable actionable feedback from our sponsors - Thanks!
Troubleshooting Common Portal Issues
- Do you have a filter or search term set that excludes what you're looking for? Check the top of the page just beneath the page title for these and "x" them out if they don't apply. Set new filters or search terms using the magnifying glass or funnel icons in the upper right corner
- Most of the time this happens because a student didn't enter a password for their testing as they registered (you can check this both on the roster through your portal or by looking at the online access email — the testing password will be blank in this case.) The WMTC office has to fix this one. Just reach out with the student information and what changes you need.
- If you're managing payment, only click "Paid" for one of the registrations (as long at it's complete) "Drop" the duplicate registration and the WMTC office can delete it.
- The WMTC office can retrieve a copy of your emails that you have sent through the portal so that you can send them through your email account if necessary.
Hybrid Course Access
- A student may not receive their login information for a variety of reasons (e.g. spam filters, they forgot to enter a password, etc.). Without login information, they cannot complete their independent study and testing. It's vital to confirm early that they can login to the course website and online tests. Reach out to the WMTC office anytime for help getting students their access.
- Students recertifying via a WFA will receive access to different course web sites and tests, this will be clear in the access email sent when you click the "Paid..." button in your portal.
- As mentioned above, you can check students' testing progress in the Course Roster in your portal.
